Give tenants their copy
Send the final report on time and keep proof that it was delivered.
Once a move-in or move-out inspection is completed, every tenant on it is owed a copy of the report. Get it to them on time, because a late copy can cost you.
We email the final report to every tenant on the inspection, and the Copy of the report section shows how and when each one got it.
The deadline
Give the copy within:
- Move-in: 7 days after the inspection day.
- Move-out: 15 days after the inspection day or the day you got the tenant's forwarding address in writing, whichever's later.
If you miss it, you can lose the right to claim against the deposit for damage.
A copy counts as given on the day it counts as received, which isn't always the day you send it:
- Email: the 3rd day after sending.
- Mail: the 5th day.
- Posted on the door: the 3rd day.
- Handed over: the same day.
The section works out the latest safe day to send for each method, and the inspections list shows Copy due by and flags anything Overdue.
For a move-out, record the forwarding address on the lease first. Until you do, there's no due date.
When the email doesn't count
An email only counts as served if it goes to an address the tenant gave you for that purpose. A tenant without one gets a courtesy copy, shown as Emailed, not service. In that case, hand the copy over, mail it, or record an address for service on the tenant's page and email it again. See Address for service.
We don't retry an email that fails. Click Email the final copy to try again.
If quiet mode held the email back, the page tells you. See Quiet mode.
Served another way
Click Record a copy served another way, then pick the tenants and enter how, when and who served it. The time has to be after the report was completed.
