How requests work
What happens to a repair request from the moment it arrives to the day you close it.
A tenant reports a problem, you decide what to do, the work gets done and you close it. It all happens under Maintenance, so nothing gets lost in a pile of texts and emails.
Requests come from two places: your tenants (Requests from tenants) and you (Create a task yourself).
The Maintenance page
The top shows how many requests are Open, In Progress, Completed This Month and Overdue. Below that, the Work Queue lists what needs attention, Request Distribution shows the mix by status, and Urgent lists anything marked urgent. Click View Requests (or View all requests) for the full list, or New Task to add one yourself.
The life of a request
| Status | What it means |
|---|---|
| Open | Just arrived, not started |
| In Progress | Someone's working on it |
| On Hold | Paused, maybe waiting on a part |
| Completed | The work's done |
| Cancelled | No longer needed |
On each request you move things along with Start, Hold, Resume or Complete, and you'll also find Assign, Record cost and History. See Assign and track requests.
What a request holds
A title and description, the unit or shared space, who asked, a category (plumbing, electrical, HVAC and so on), a priority (low, medium, high or urgent) and any photos. Every status change is kept in History.
Who hears about it
Urgent requests are flagged in your queue, and when a tenant sends one, your team gets an email straight away. Your tenant gets an email whenever you change the status of their request, unless quiet mode is on, in which case it's held back.
