Roles and permissions

Understand what each role can access in your OneRental workspace.

Every team member in OneRental is assigned a role that controls what they can see and do.

Available roles

Property Owner

Full property management access as the owner of the business. Can manage properties, leases, tenants, maintenance, finances, and workspace settings.

Property Manager

Day-to-day operational access for managing properties on behalf of the owner. Can manage properties, leases, tenants, and maintenance. Cannot access workspace settings or manage other team members.

Tenant

Access limited to the tenant portal. Tenants can view their lease, check payment history, submit maintenance requests, and access shared documents. They cannot see any workspace data.

Team roles within a workspace

Separately from the account-level role above, each person you add to a workspace via Settings → Team also gets a membership role that controls their standing within that specific workspace:

  • Owner — the person who created the workspace. There's always exactly one, and their role can't be changed or removed from the Team page.
  • Manager — a workspace-level distinction for team members with broader day-to-day responsibility. It does not grant the ability to invite, change roles for, or remove other team members — that's controlled by the account-level role above (Property Owner only).
  • Member — the default workspace-level tier.

Inviting, changing roles, and removing team members is only available to Property Owners (see the permissions table above) — it doesn't depend on whether you're a workspace-level Manager or Member.

Changing a role

  • To change a team member's workspace-level role (Manager/Member), use the dropdown on the Team page — this takes effect immediately, no support request needed.
  • To change a team member's account-level role (Property Owner ↔ Property Manager), contact support with the workspace and the member's email address.
